Collecting files from a legal hold restores a custodian's preserved data to a device you choose. CrashPlan uses the same mechanism as a console web restore.
Before you begin
Collecting files from a legal hold requires the following.
- This procedure requires the Org Legal Admin or Cross Org Legal Admin role. An Org Legal Admin can collect for custodians in their own organization and its child organizations. A Cross Org Legal Admin can collect for custodians in any organization.
- The custodian must be on an active legal hold.
- The target device must have the CrashPlan app installed and be active. To specify a target path, the device must also be online.
- Allow time for the custodian's devices to back up before collecting. Files are not available immediately, and the time required depends on the size of the selection.
Files cannot be collected from a custodian whose archive uses an advanced encryption key option, meaning an Archive key password or a Custom key. This includes custodians in organizations with Compliance Settings activated, which require one of those options. Their data is still preserved.
If either applies, see Troubleshoot legal hold for the options available.
Collect files
Collect a custodian's preserved files from the matter that holds them.
- Sign in to the CrashPlan console.
- Select Legal Hold > Matters.
- Select the matter you want to collect from.
- Select Custodians.
- Select Get Files for the custodian.
- If the custodian has more than one active device, choose a device.
- In the Web Restore dialog, set the following:
- Destination to restore from, if the device backs up to more than one.
- Target device to receive the files.
- Target location, either a target path on the device or the files' original location.
- (Optional) Restore files as of a date. Leave this empty to collect the most recent versions.
- Files to restore. Use the search field to narrow the list, then select the files or folders to collect.
- Select Restore.
CrashPlan downloads the files to the device and path you chose.
Collecting a large number of files can take several minutes to prepare. For the full set of web restore options, see the CrashPlan console web restore reference.
After collecting
File collection is recorded on the matter's Activity screen 24 hours after the collection completes. The names of the collected files are not shown. See View legal hold activity.
Collect any files the matter requires before ending a hold, because releasing a custodian begins the permanent deletion of their preserved data. See Release custodians and close a matter. For the fields in the Custodians list, see Legal Hold reference.
