Legal Hold reference

This article describes each field and control in the Legal Hold area of the CrashPlan console. For how legal hold works, see How legal hold works. Procedures are covered in the articles linked from each section below.

  • To open matters, select Legal Hold > Matters.
  • To open preservation policies, select Legal Hold > Preservation Policies.

A preservation policy must exist before a matter can be created.

All Matters

To create a matter, see Create a legal hold matter and add custodians.legal hold matters.png

Key Item Description
a Add matter Creates a new matter.
b Choose status Filters matters by status. All displays every matter, Active displays active matters, Closed displays closed matters.
c Previous / Next Views the previous or next page of matters. There are 100 matters per page.
d Name The name of the matter.
e Created By The user who created the matter.
f Date Created The date the matter was created.
g Status Active or Closed.
h Number of Custodians The number of custodians in the matter.
i Matter Opens the matter to view its details.
j Close Closes the matter.

Create Matter

Item Description
Matter name Names the matter.
Preservation Policy The preservation policy applied to the matter. Each matter uses exactly one policy.

Details

Select a matter from All Matters to open its details.legal hold matters compliance dispute.png

Key Item Description
a Rename Changes the name of the matter.
b Action menu Closes or reactivates the matter.
c Edit Description Changes the description of the matter.
d Edit Preservation Policy Changes the preservation policy applied to the matter.
e Edit Reference fields Changes the External Reference and Notes fields. External references are searchable through the CrashPlan API.

Closing a matter releases every custodian in it and begins the permanent deletion of the data the matter was preserving. Before closing a matter, see Release custodians and close a matter.

Custodians

Select a matter, then select Custodians.legal hold custodians.png

Key Item Description
a Rename Changes the name of the matter.
b Action menu Closes or reactivates the matter.
c Add custodian Adds a user to the matter. A user under legal hold is called a custodian.
d Choose status Filters custodians by status. All displays every custodian, Active displays active custodians, Released displays released custodians.
e Previous / Next Views the previous or next page of custodians. There are 100 custodians per page.
f Name The username of the custodian.
g Devices The number of devices belonging to the custodian.
h Organization The custodian's organization.
i Status Active or Released.
j Collection Displays the Get Files icon.
k Get Files Opens the Web Restore dialog to collect files from the custodian.
l Release Releases the custodian from legal hold. Hovering over a released custodian displays a + icon that reactivates them.

Get Files is unavailable when the signed in administrator holds the Org Legal Admin role and the custodian belongs to another organization. To collect files, see Collect files from a legal hold. To release or reactivate a custodian, see Release custodians and close a matter.

Activity

Select a matter, then select Activity to view the events recorded for it. See View legal hold activity.

Key Item Description
a Create preservation policy Creates a new preservation policy.
b Policy name The name of the preservation policy.
c Created by The user who created the policy.
d Date created The date the policy was created.
e Date modified The date the policy was last modified.
f Preservation policy Opens the policy to view or change its settings.

Preservation policy settings

Select a policy from All Preservation Policies to open its settings.

Leave Advanced Settings at their defaults for a preservation policy. Changing them alters how the legal hold backup set captures files.

Key Item Description
a Rename Changes the name of the preservation policy.
b Backup will run Sets when backups run. The default is continuously.
c Verify selection every Sets how often file verification scans run. This interval controls how quickly a change to the policy reaches custodian devices. The default is daily.
d Edit General Backup settings Changes when backups and file verification scans occur.
e Included files The files and folders the policy preserves.
f Excluded files The files and folders the policy leaves out.
g Edit File Selection Changes which files and folders are included and excluded.
h All OS Filename exclusions applying to every operating system.
i Mac Filename exclusions applying to Mac devices.
j Windows Filename exclusions applying to Windows devices.
k Linux Filename exclusions applying to Linux devices.
l Edit Filename Exclusions Changes the filename extensions and regular expressions excluded from the policy.
m Frequency How often a changed file produces a new version.
n Version retention How long each generation of versions is kept, and how long deleted files remain in the archive.
o Edit Frequency and Versions Changes the frequency and version retention settings.
p Back up open files Whether files in use at the time of backup are included.
q Edit Advanced Settings Changes the Back up open files setting.

Filename exclusions configured under Global Exclusions in the CrashPlan console apply to every preservation policy in addition to the exclusions listed here. See Best practices for legal hold file selections and exclusions.

While a custodian is on legal hold, the frequency and version retention set here take precedence over the settings on that custodian's other backup sets. See How legal hold works.
